How do I use tasks, follow-ups and notes?

A follow-up date on a lead puts it in Tasks; activities and notes record your contact history.

When you open a person in the CRM:

  • Follow-up: give the person a follow-up date. Due and overdue follow-ups are listed in Tasks and among the waiting items on the Dashboard.
  • Assign owner: assign the person to a teammate. New reply notifications go to the lead's owner first.
  • Log activity: record contact outside email; the types are phone, meeting, LinkedIn, email and other.
  • Add note: free notes about the person.

These show in the person's activity history and are shared with your team.

A task is a follow-up set on a person; there is no separate task record. To create one:

  1. Open the person and click Follow-up at the bottom.
  2. Pick a Date & time, optionally write the next step in Note, and press Save.

To give several people the same follow-up, select them in All leads and use Set follow-up. The Add task button shown when Tasks is empty only takes you to All leads.

In Tasks, the Date menu lets you choose Active, Today, Overdue or This week. When a task is done, remove it with the × on its row (Remove task) or with Clear in the follow-up window. The number of overdue tasks is marked in the CRM menu.
